To enable students to access your WebVista sites, please follow the steps below for each Vista site you wish to open to students. Note that if you answered "yes" to the question on the Site Request Form, "Should students have access immediately?" when you requested the site, you will not need to follow these steps for that site.
Steps to Take in Your Site Grade Book

A screenshot of a WebVista Grade Book (see an enlargement). The Edit Paging link is labeled 1; the Grant Access button is labeled 2; and the red circles indicating access is denied are labeled 3.
- Go to http://myu.umn.edu and click the My Toolkit tab, then log in.
- Under the WebVista section in your To Do list, click the link of the site you want students to be able to access, or click the WebVista link if you do not see a link to your site.
- When your site is displayed, click the Teach tab.
- Next to the label, Course Management Tools, click the Grade Book link/button. Note that all student records will have a red circle in front of them, indicating that these students are denied access to your site.
- Edit the paging so you can see all your students' records at once. If you have more than 100 students, you may wish to display a maximum of 100 records per page to minimize the time it takes to download the list. At the top right of your student table, you will see a line of text similar to one of the following. The first example indicates there are eight users in the Grade Book, and the second example indicates that there are 30 users:
- [1] of 1 | Items 1..8 of 8 | Edit Paging
- [1] of [ 2 ] [ 3 ] | Items 1..10 of 30 | Edit Paging
- Click the Edit Paging link and type either the total number of items (if you want to view all of your student records at once) or 100 (if you have more than 100 students).
- At the top of the Grade Book, click the checkbox next to Last Name. This selects all student records displayed on the page.
- Click the Grant Access button in the second-to-last row of options at the bottom of the page. You may need to scroll down to see this button. Wait until the red circles disappear.
- If you have more than 100 students in your class, click the link to each subsequent page of student records (such as "[2]" and "[3]" in the second example of step 5 above) and repeat steps 7 and 8 above.
- Important! Send e-mail to the WebVista Admin/Support Team at webvista@umn.edu requesting that we change the fetch settings for your opened site. Please include the title of the site that you see in your myU My Toolkit or my WebVista page or in the menu bar across the top of your site, and write the message, "Please open my site for students." We will make sure that new registrants are enrolled in your site with access allowed. Note that soon this step will not be necessary, as we will have a tool that will enable you to change your fetch settings yourself.
- Once you receive our reply, your students will be able to access your site.
Important Notes About This Process
Use Grade Book Custom View
Use the Custom View tab in your Grade Book to view customized University of Minnesota data about your students, such as Add Date, Drop Date (visible if students have dropped), Section Number, Campus, and Call Number. We recommend that you do most of your Grade Book work in Custom View because any changes you make to the Grade Book will be shown there. If you want your column order to be available to students via the My Grades tool, do any gradebook work in the View All tab.
Do Not Remove vistagb User
You will see everyone with section instructor/designer access listed in your Grade Book. You may see a user called vistagb also listed. Please do not remove vistagb because it enables us to add your student data using autofetch. The vistagb user is added when we create your site if there is no instructor of record according to our PeopleSoft data.
Help Students Configure Their Browsers
After you follow these steps, your students must have their browsers configured correctly in order to see your site in their new "allowed access" mode. Please send your students to the Browser Configuration page for instructions.
